Finding and reserving FIU venues just got easier


FIU employees: Did you ever have to plan a lecture for your department but didn’t have a suitable space? Or what about that big conference with plenary and break-out sessions for 900 participants? Outdoor fair? Team dinner? Summer camp sports tournament?

If this sounds familiar, you know finding the right venue at FIU has been a challenging task, somewhat of a treasure hunt. The good news is, soon this will be a thing of the past: Going live on Aug. 1, with a select group of venues, the new central reservations system gives all employees access to a single database to conveniently find venues and submit a reservation request.

You should always start at https://reservespace.fiu.edu, where you can find helpful information (i.e. featured venues, event-related services that can be added to your space reservation, terms and conditions for space use, and other helpful tools such as common configurations for room set ups).

Feel ready to request a space? Great!

Use your FIU credentials to log on and always first view any announcements on the “Site Home” tab before clicking on “Create a Reservation” and then selecting the reservation template that fits your event needs.

Not sure which template to use? Click “About” to view a template description. Then click “Book Now.”

The actual booking process is completed in three simple steps:

  1. Step 1: Enter date, time and other criteria to view available venues and then select the one that best fits your needs.
  2. Step 2: If applicable, add on-campus services.
  3. Step 3: Enter additional reservation details so that the suitability of the space and services request for your needs can be assessed and any risk factors can be mitigated.

Done!

Please be sure to sign out of the system. You will receive a detailed confirmation of your request via email and should receive a response from the respective space manager within two business days.

Eventually, all FIU non-academic spaces (meeting/conference/multipurpose rooms, auditoriums etc.) will be integrated and managed by the respective employee who coordinates that space as has been done in the past, just via the Central Reservations system for efficiency, transparency and accountability.
